The American Association for Collegiate Registrars and Admissions Officers (AACRAO) seeks candidates for a paid, part-time Intern in the Meetings Department, Education and Member Development Division. The ideal candidate is a motivated, dependable, and detail-oriented learner interested in conference planning, event management, and association work. The Meetings Intern will gain hands-on experience supporting national professional conferences while providing operational support to the Meetings Department. AACRAO seeks and encourages a diverse applicant pool.

Compensation: $20/hour for undergraduate and $23/hour for graduate students
Location: AACRAO’s office is located in Washington, D.C., near the Farragut North Metro station. This hybrid position requires at least one day per week in the office, with additional in-office days during some peak meeting periods. Travel to AACRAO meetings may be approved based on organizational needs.

RESPONSIBILITIES OF THE MEETINGS INTERN ROLE
Event Management & Registration
- Draft and update registration forms, routine communications, and meeting documentation
- Update event websites and registration platforms
- Support proposal/abstract management and session scheduling
- Maintain accurate registration, session, and presenter information in AACRAO databases
- Provide professional and helpful customer service to meeting attendees
Event Technology & Digital Resources
- Maintain conference app content, including agendas, speaker profiles, sponsor/exhibitor information, handouts, and session resources
- Organize and maintain digital presenter files and assist with conference app communications
- Perform routine content updates and quality-control checks across meeting technology platforms
Conference Logistics
- Organize, pack, ship, and unpack conference materials and maintain Meetings Department inventory
- Assist the AACRAO Publications Department with receiving, shipping, and storage
- When onsite, assist with registration, signage, meeting materials, session rooms, attendee flow, headcounts, and other duties as assigned
Departmental Support
- Maintain Meetings Department digital files, tracking spreadsheets, and project information
- Update tasks, deadlines, and status information in project management tools
- Attend staff and department meetings as assigned
- Support additional Meetings Department projects and activities as needed
QUALIFICATIONS
- Strong attention to detail, organizational and time-management skills, and ability to manage multiple assignments
- Strong written and verbal communication skills
- Ability to follow detailed instructions and established processes
- Proficiency with Google, Adobe, and the Microsoft Office Suite
- Intermediate Microsoft Excel and/or Google Sheets skills preferred
- Previous experience in events, customer service, administrative support, student organizations, hospitality, or a similar environment preferred but not required
WORKING CONDITIONS
- 20 hours per week during business hours of 9:00 a.m. – 5:00 p.m. ET, Monday–Friday. A consistent weekly schedule will be established and may accommodate academic commitments; additional hours may be approved during peak meeting periods.
- Must be able to lift and move materials weighing up to 35 lbs.
- The position is primarily computer-based but occasionally requires packing and moving meeting materials. Onsite assignments may require extended periods of standing and walking.
