- Hotel Cut-off: AACRAO has a limited block of rooms available at the group rate. Availability is on a first come, first served basis. Reservations must be received on or before the priority deadline of July 7, 2025, to be eligible for the group rate. If the number of contracted rooms has sold out before the priority deadline, additional rooms at the group rate may not be available.

- Airport Shuttle: Complimentary shuttle service is available between Ronald Reagan National Airport (DCA) and the Crystal Gateway Marriott. The shuttle runs every 30 minutes between 5:00 a.m. - 11:30 p.m. Allow for thirty minutes of travel time on the shuttle.
Hotel Policies
Reservation Deposit
All reservation requests require a valid credit card as a guarantee or a one night deposit. Deposits will not be refunded for rooms canceled less than 72 hours prior to arrival.
Deadline for Cancellations
For a full refund, reservations must be canceled three working days (72 hours) prior to your arrival, and you must obtain a cancellation number from the hotel. If a cancellation occurs after this deadline, a processing fee of one night’s room and tax will be imposed on each reservation cancelled.
Early Departure Fee
In the event a guest checks out prior to the reserved check-out date, the hotel will charge an early check-out fee. To avoid the fee, advise the hotel at or before check-in of any change in departure date.
