Corporate Participant Registration Information

Corporate Participant Registration is for those companies/organizations who are exhibiting, presenting, or sponsoring at the Annual Meeting. If your company is not engaging in any of the aforementioned activities, then you must register through the standard registration link

3 Easy Ways to Register:

3.    If you are paying by check, mail the completed registration form with the check to:

On-site registration will be available, although attendees are encouraged to register in advance. We cannot guarantee that registrations received after March 29, 2012 will be processed prior to the meeting.

Exhibitor/Sponsor/Corporate Presenter Registration

Exhibitors and sponsors must use the special Exhibitor & Sponsor Registration Form to register.

Complimentary Full Meeting Registrations

Complimentary full meeting registrations include admission to professional development sessions, plenaries, and other events but do not include admission to paid preconference workshops, luncheons or the International Educators Reception.

  • Exhibitors who are AACRAO partners receive two complimentary full meeting registrations per 10 x 10 booth space.
  • Exhibitors who are not AACRAO partners receive one complimentary full meeting registration per 10 x 10 booth space.
  • Corporate Presenters receive one complimentary full meeting registration per corporate presentation purchased. Additional corporate presenters can register at the full meeting rate.

Additional Paid Meeting Registrations

Exhibitors and sponsors may purchase additional full meeting registrations at the early bird, member rate. Note that the usual cancellation and refund policies apply to paid registrations. Guest registration is available for spouses, companions, and children of registrants. A discounted guest registration fee is offered to children under 18. Registered guests may visit the Exhibit Hall and attend the Welcome Reception and other special events (excludes professional development sessions).

Exhibit Hall Only Registrations

Exhibitors who are staffing booths in the exhibit hall may register for complimentary Exhibit Hall Only registrations (limit of three complimentary Exhibit Hall registrations per 10x10 booth). Exhibitors, who exceed their allotment of complimentary Exhibit Hall Only registrations, may purchase additional registrations at $40 each. Note that Exhibit Hall Only registrants may not attend professional development sessions.

Workshops and Luncheons

Exhibitors and sponsors may purchase tickets for preconference workshops, luncheons and the International Educators Reception.

Payment

Registrations, which are not complimentary, MUST be accompanied by check, money order, or credit card charging authorization. Forms received without payment will NOT be processed. Funds must be in U.S. dollars. Checks or money orders should be made payable to AACRAO. (For accounting purposes, the AACRAO Federal Tax ID number is 52-2274900.)

Confirmations

Confirmations will be sent via e-mail to registrants within one week of receipt. If an e-mail address is not provided, or if an e-mail is returned as undeliverable, a confirmation will be sent via fax or regular mail within 5-7 business days.

Tickets & Badges

Name badges are required to be worn at all times. Appropriate exhibitor identification is required for admission to the exhibit hall when the hall is closed to registrants. Paid workshops, luncheons, and the International Educators Reception require tickets that will be distributed along with your badge at the Annual Meeting.

Substitutions, Cancellations, and Refunds

All changes, substitutions, and cancellations must be made in writing. Substitutions may be made without penalty. Fax to (330) 963-0319 or e-mail aacraoannual@experient-inc.com

Deadlines for refund of registration, guest, and workshop registration fees:

  • By February 24, 2012 — Full refund less $50 processing fee
  • From February 25 to March 28, 2012 — Full refund less $150 processing fee
  • After March 29, 2011 — No refund
  • No-shows will not receive refunds of any fees paid

If AACRAO cancels a meeting, it will make every effort to notify registrants in advance. AACRAO is not responsible for any charges or cancellation fees assessed by airlines, hotels, or travel agents.

Special Needs

If you have special needs and require accommodation to full participate, please e-mail a description of your requirements by February 24, 2012 to meetings@aacrao.org. Should you require special hotel accommodations, please notify the hotel when making your reservation.
