ATTENTION AACRAO ANNUAL MEETING EXHIBITORS AND SPONSORS
Please be aware that you can no longer register via the web. All registrations will be accepted on-site at the meeting registration desk located on Level 2 of the Mandalay Bay Convention Center South.
Registration desk hours:
- Monday, April 19 7:30 pm – 7:00pm
- Tuesday, April 20 6:45 am – 5:30pm
- Wednesday, April 21 8:00 am – 4:30pm
Thursday, April 22 7:45 am – 1:30pm
Any changes or cancellations must be submitted in writing by April 15, 2004
and can be faxed to (330) 963-0319.

Complimentary Full Meeting Registrations
Exhibitors who are AACRAO partners receive two complimentary registrations
per 10 x 10 booth space. Exhibitors who are not AACRAO partners receive
one complimentary full meeting registration per 10 x 10 booth space. Sponsors
receive one complimentary registration unless otherwise specified in sponsorship
agreement. (Contact Suzanne Levine at (202) 263-0293 or levines@aacrao.org
for more information.) Note that complimentary full meeting registrations
include admission to professional development sessions, plenaries, and
other events but do not include admission to paid preconference workshops
and luncheons.
Additional Paid Meeting Registrations
Exhibitors and sponsors may purchase additional full meeting registrations
at the early bird, member fee. Note that the usual cancellation and refund
policies apply to paid registrations.
Exhibit Hall Only Registrations
Exhibitors who are staffing booths in the exhibit hall may register for
complimentary Exhibit Hall Only registrations (limit of three complimentary
Exhibit Hall registrations per 10x10 booth.) Exhibitors who exceed their
allotment of complimentary Exhibit Hall Only registrations, may purchase
additional registrations at $40 each. Note that Exhibit Hall Only registrants
may not attend professional development sessions.
Guest registration is available for spouses, companions, and children of registrants. A discounted guest registration fee is offered to children under 18. Registered guests may visit the Exhibit Hall and attend the Welcome Reception and other special events (excludes professional development sessions).
Workshops and Luncheons
Exhibitors and sponsors may purchase tickets for preconference workshops
and luncheons.
Payment
Registrations, which are not complimentary, MUST be accompanied by check,
money order, or credit card charging authorization. Forms received without
payment will NOT be processed. Funds must be in U.S. dollars. Checks or
money orders should be made payable to AACRAO. (For accounting purposes,
the AACRAO Federal Tax ID number is 52-2274900.)
Confirmations
Confirmations will be sent via e-mail to registrants within one week of
receipt. If an e-mail address is not provided, or if an e-mail is returned
as undeliverable, a confirmation will be sent via fax or regular mail
within 5-7 business days.
Tickets & Badges
Name badges are required to be worn at all times. Appropriate exhibitor
identification is required for admission to the exhibit hall when the
hall is closed to registrants. Paid workshops and meal functions require
tickets that will be distributed along with your badge at the Annual Meeting.
Substitutions, Cancellations, and Refunds
All changes, substitutions, and cancellations must
be made in writing. Substitutions may be made without penalty.

Deadlines for refund of attendee registration, guest, and workshop registration fees:
- By April 2, 2004 – Full refund less $25 processing fee
- From April 3 to April 9, 2004 – Full refund less $150 processing fee
- After April 9, 2004 – No refund
No-shows will not receive refunds of any fees paid.
If AACRAO cancels a meeting, it will make every effort to notify registrants in advance. AACRAO is not responsible for any charges or cancellation fees assessed by airlines, hotels, or travel agents. These terms and conditions will apply even if they are not printed on the registration form itself.
